Guide: Google Tasks vs Todoist: Comparison and Review
To-do apps help us stay productive and keep us on our toes – that is, until we start slipping and keep procrastinating and snoozing the task. Slowly, it’s getting buried deep beneath our list of tasks to attend.
At GT, we’ve reviewed quite a few to-do apps, such as Microsoft To-Do, a reincarnation of Wunderlist, and Google Keep, which is more of a note taking app. So, what are we assessing today?
Google Tasks is a minimalist app that allows you to create tasks and assign dates to them. Although there is a lack of advanced features, the question is, do we really need them? Sometimes more features can get us stuck.
On the other hand, Todoist is a fully loaded to-do app that allows you to create folders, assign tasks and collaborate with team members.
Let’s see how they match and differ.back to menu ↑
1. Get started
Google Tasks is a minimalistic looking app. Tap Add new task button to create your first task. Click the ‘+’ icon while creating a new task to add a reminder or details.
Likewise, in Todoist, you are greeted with a functional and material design where creating tasks is easy. Tap the plus icon to create new tasks. Todoist gives you more options such as adding labels, people and setting a priority. More about them later.
You can easily reorder tasks by dragging and dropping them, but there’s more to it than meets the eye.back to menu ↑
2. Go deep
Once you start using Google Tasks you will realize that it works the same way as Tasks and Lists in Google Keep. There are some minor differences, but they are not significant enough to warrant a different app.
Google Tasks can handle many lists and tasks. Note that the menu is at the bottom and not at the top or even in the sidebar. I like this arrangement more because this way the first thing I see is my list name and tasks. I also don’t have to adjust my hands every time to reach the menu in the top right corner when I need to switch lists. The menus at the bottom are easily accessible.
Todoist opts for the proven sidebar menu where you’ll find a few options such as Inbox, Today and Next 7 Days that speak for themselves. This allows you to focus on what needs to be done next instead of loading you up with next week’s tasks.
In Google Tasks, tap an individual task to create subtasks. This feature is useful when working on projects that require multiple tasks. You can then add notes to any task or subtask. Both subtasks and notes are visible on the main screen. One thing that really bugs me is that you can set a due date, but not the time for tasks. That’s kind of strange because you can do that in the Keep app.
Todoist really chooses up speed here and will soon overtake Google Tasks. Let’s revisit the sidebar, where you’ll find some standard projects to get started, each color-coded. Todoist understands natural language, so if you type “remind me to call AB tomorrow at 5pm,” Todoist will know what you mean. You can also assign priorities to tasks so you know which one needs more attention.
Collaborating with others is easy as Todoist is built to be scalable and comes with a business plan. Tap the people icon to send invitations. You can add labels to each task, which is convenient because you can use the same label for tasks belonging to different projects.
Finally, moving forward in the spirit of collaboration, Todoist supports uploading files to individual tasks. This makes it easy to assign important documents and tasks to everyone on the team. Delegating tasks becomes easy.
However, Google Tasks also lacks a basic search function to find buried / older tasks. Todoist allows you to create custom filters so that you can save your searches for the future.
You can customize Todoist with themes, change notification settings and start a new page.back to menu ↑
3. Platforms and Prices
Google Tasks is available on Android, iOS and web browsers. However, the web version looks a bit dated. The app is free to download and use with no ads or in-app purchases.
Todoist is available on Android, iOS, Windows and MacOS. It also has extensions for all popular browsers, smartwatches, and has plugins for Gmail and Outlook. Todoist has a free plan with no tags, reminders, or file uploads, and limited support for collaboration tools. The premium plan will cost you $ 36 per year for one user and $ 60 per user per year for business users.back to menu ↑
Google Tasks vs. Todoist: You Decide
To be honest, Google Tasks isn’t there yet. Either Google will have to up his game or will it have to end. Todoist, on the other hand, is a complete scalable solution that will work wonders for your personal and professional life, but only if you upgrade. Free plan has no reminders.
The next up: Todoist is in a class of its own. Let’s take a look at how Google Tasks compares to the Microsoft To-Do app.back to menu ↑
