How to Change Case of Text in PowerPoint – Guide

Your boss, co-worker, or friend may email you with information for your presentation on a regular basis. Instead of entering all this information, just copy it from the email and paste it into PowerPoint. The problem with this strategy could be that whoever gave you the text is one of those people who type everything in lowercase, or who simply forget to turn off Caps Lock. button! Whatever the cause, you’re gonna roll up with content that is not suitable for your presentation. Instead of retyping all the text, you can quickly change the case of selected text in your presentation using the PowerPoint Change Case option.

If you want to change the case of text in your PowerPoint presentation, you can use one of two approaches. Change the text case using keyboard shortcut keys or a command in the Font group on the Home guide, whichever is most convenient for you.

Change case using shortcut keys

Keyboard shortcuts are useful for just about any program as a quick alternative to using a mouse. PowerPoint supports the shortcut Shift+F3 on Windows (which is the same on Word) to switch between the three most common selections for changing case:

  • Uppercase: All letters in the selected text are uppercase.
  • Lowercase: None of the letters in the selected text are uppercase.
  • Capitalize each word: The first letter of each word in the selected text is capitalized.
  • Highlight text to toggle and press Shift+F3 to cycle through settings.

    Change Case Using the PowerPoint Ribbon

    If you don’t use keyboard shortcuts or use PowerPoint on a Mac, change the case of text in a presentation on the PowerPoint ribbon.

  • Select the text.

  • Go to Home and in the Font group, select Change Case (Aa) button.

  • Choose from these five options:

    1. The phrase box capitalizes the first letter of the selected phrase or marker.
    2. lowercase converts selected text to lowercase without exception.
    3. UPPER CASE converts the selected text to an uppercase setting. Numbers do not change to punctuation symbols.
    4. Capitalizing each word makes the first letter of each word in the selected text capital. (This is not the case with a true title, which does not capitalize conjunctions, articles, and prepositions with less than four letters.)
    5. CHANGE CASE changes each letter of the selected text to the opposite of the current case. This is useful if you have inadvertently
    6. pressed the Caps Lock key while typing.
    7. PowerPoint’s case-changing tools are useful, but not foolproof. Using the case converter does not preserve proper name formatting, and every capitalized word does exactly what it says, even if some words such as a and of must remain lowercase in composition titles.
