1. Thunderbird

There are many email clients available for desktop, but I’ll be using Thunderbird for this guideWhy? Because it just works. There is also a portable version available that allows you to store all your data on a pen drive and view it offline.

To back-up From Gmail emails, go to Forwarding and POP / IMAP in Settings and turn on POP for all emails.

When you start Thunderbird for the first time, you will be asked to enter an email ID and password. Enter your Gmail credentials there. You can also add a new email ID under Accounts> Setup up an account> Email as seen in the screenshot below.

Click Done and it will create all folders and subfolders to download emails from your Gmail account. It may take a while depending on the size of your Inbox and the internet speed.

You may be asked to sign in again and give Thunderbird the necessary permissions.

2. Trash can

When you receive an email, you can glance at it and click delete button if you feel it is not helpful or not worthy of further attention. If you want to restore it later, you can do that, but it has some limitations.

Any email you delete in Gmail goes to the Trash folder where it will remain up up to 30 days. If you are unable to recover emails during that period, Gmail will automatically delete those emails from the Trash folder.

Open Gmail in browser or to restore mobile, open the Trash folder and locate the email you want to restore to the Inbox folder.

3. Google Pickup

Not many people know about this, but Google offers a way to delete and store locally any data you have on Google’s servers.

Choose the file type, archive size and delivery method. This can be email or directly to your chosen cloud storage service. You can also leave it on the stand.

Launch MBox Viewer, a Windows only app, so if you’re on a different OS, go for Thunderbird. Select the Google Takeout file once you are signed in.

4. Gmvault

Gmvault is free and open-source software to download and view Gmail emails, but that’s not all. You can schedule backups, eliminating the need for backups, as we saw with previous methods. You can also use it to move emails to another Gmail account. Useful!

Download Gmvault for Windows or macOS from the link below. You start by enabling the IMAP option under Gmail settings in the POP / IMAP Forwarding tab.

Now open Gmvault and it will greet you with a command shell line. Do not freak out. Enter the following command to sync an email ID from Gmail:

gmvault sync account@gmail.com
