Guide: Sign Digital Documents Using Preview App in MacOS

For freelancers working remotely, having to sign a document in person can be a problem. Instead of turning up at the office or meeting with the customer, usually the document is sent to us, we print it out, sign it and then scan it again with the scanner we have around. Don’t have a scanner? Well you can use the native Example app instead.

Example is a built-in OS X app with a handy feature which allows you to add your signature to a PDF document. The feature has been around since OS X Lion and has been improved through every OS X release. Here’s how to digitally capture your signature with the Preview app.

Note: OS X Yosemite users can go ahead and find out how to add your signature by signing directly on the trackpad.

1. Record your signature

To start, you’ll need a piece of crisp white paper and a marker. Sign the newspaper with your dear John Hancock. Then open the Preview app and go to Tools> Annotate> Signature> Create signature from FaceTime HD (built-in)

The Signature Capture dialog box will appear up, and your Mac is built in camera should be turned on automatically.

Hold the signed paper in front of it cameraMake sure the paper gets enough light for a nice shot. Hold the signature just above the blue line (see below).

Wait a few seconds for the Preview app to track and capture the signature. View the preview and click Accept if you want to keep this signature. Do you not like what you have accepted? Just follow the steps again for a retake.

Done? Let’s take a look at how to use this to sign a document.

An alternative: signing with the trackpad (Yosemite)

If you’re already using OS X Yosemite, you can skip taking photos and just use your trackpad to create your signature. However, drawing on the trackpad isn’t as comfortable as signing on paper – and it had to be said that signing will be easier with a stylus than with a finger.

Open the PDF document and open the editing toolbar and look for this scribble icon. Click on it and choose TrackpadClick on the space to start signing. Click Done

Final note

Keep in mind that doing this this way will not cryptographically sign the document. Essentially, this method ensures the authenticity of your signature on the document through encryption and some complex mathematical equations or algorithms.

If security is paramount, you can try alternative services such as DocuSign, HelloSign or SignNow instead.
