## How to Check Emails for Accessibility in MS Outlook - Guide

Microsoft Outlook is a personal information management software system included in the Microsoft Office suite.  Outlook is essentially an email client, but it also has calendar, task management, contact management, note-taking, journaling, and web browsing features.

Individuals can use Outlook as a standalone program, while companies can use it as multi-user software (via Microsoft Exchange Server or SharePoint) to manage mailboxes, calendars, folders, data aggregation (via SharePoint lists), and appointment scheduling.  Microsoft provides apps for iOS and Android, as well as other mobile platforms.  Also, virtually all Outlook data can be synced from Windows Phone devices for Outlook Mobile.  Developers can also create bespoke software that interacts with Outlook and Office components using Microsoft Visual Studio.

Email signature: Make sure your email signature is also accessible.  Use the same font sizes as you would for the body of your message.  Email signature graphics also need to be readable, so if there's text inside the graphic, make sure it's also clear and large enough.  ALT text descriptions (alternatives) should also be included to describe important information in the chart.

### Use the Outlook Accessibility Checker

The Accessibility Checker is available in Outlook Online and Desktop.  To ensure that your email can be read by many people, you should run the Accessibility Checker.  This inspects your email for elements that could cause problems for accessibility tools like a screen reader.  Errors, warnings and tips are displayed in the control results, along with information about why and how to fix the problem.  While the Accessibility Checker is a very useful tool, it currently does not check for all accessibility issues covered by the WCAG 2.1 AA standards.

Depending on the version of Outlook you're using, Accessibility Checkers can be accessed from the File tab or the 3-dot ellipsis menu in Office 365 Mail.
