## How to use Microsoft Forms - Guide

For some organizations, understanding customers is vital to progress.  It is an effective method for estimating how your next item or administration should be delivered.  With regards to overviews, there are a number of arrangements out there, some that are free and some that are not.  Assuming you're an Office 365 user, you might have discovered the Microsoft Forms app, an overview that's available on most Office 365 plans.

## How to    use Microsoft forms

Using Microsoft Forms is very simple: you choose whether you want to make a form (such as a poll or poll) or a quiz;  the difference is that the quizzes have correct answers and can be scored.  Once you've created your form, you can share it with your target audience and then review the results with Forms' built-in analytics view.

## How to    start using Microsoft Forms

Microsoft Forms is available in your Microsoft 365 apps or in your Microsoft account.  Here it is how to start:

Log into your Microsoft account, such as your Microsoft 365 work or school account or your Microsoft Outlook account.

In the list of applications, find “Forms”.  It may be necessary to click on the app menu and choose “All apps”.

Click on "Forms."

Alternatively, you can go directly to the Microsoft Forms page and sign in with your Microsoft account credentials.

The Forms page has a row of templates at the top of the page, including options for creating a new form or survey.  There may be additional templates, and you can see about a dozen template options if you click “More Templates”.

If you've already created one or more forms, you'll see them below the templates, where you can see a list of recent forms and those you've pinned to the page for frequent access.  To see all your previous forms, click on “All my forms”.

## How to    create a new form

To create a poll or poll, click on “New form”.

Click on “Untitled Form” and give the form a name and description.  You can also click on the image. button to the right and add an image to the top of the form.

Click on “Add New”.

From the pop-out menu, choose the type of entry you want to create for your form.  It can be a multiple choice question with buttons, a free-form blank fill text entry, an entry where the user needs to assign a star rating, a date entry, and more.

After selecting the input option, fill in all the necessary data.  Enter question and answer options, for example.  You can allow multiple answers and indicate whether an answer to the current question is required (otherwise all questions are optional and users can submit the form without answering all entries).

A toolbar at the top of each question provides additional options:

To create a duplicate question, click on the “Copy” icon.

This is convenient if you need to ask a similar question and don't want to retype it from scratch.

The “Trash” icon deletes the current issue.

Use the up and the down arrows to move the current question on the form, changing its order.

Click "Add New" to continue adding items to your form until it is complete, then you can proceed to view and share it.

## How to    create a new quiz

Click on “New Survey”.

Click on “Untitled Quiz” and give a name and description.  You can also click on the image. button to the right and add an image to the top of the survey.

Click on “Add New”.

From the pop-out menu, choose the type of entry you want to create.  You have the same options as if you were creating a regular form: multiple choice, fill in the blanks, star rating and date selection.

Fill in all necessary details.  But since this is a test, you have some additional options.  The “Choice” and “Text” questions may have correct answers.  To indicate which answer is correct for a Choice question, hover your cursor over the correct option and click the checkmark to the right.  To get a text answer, click “Add Answer” below the question and type in the exact answer that the user needs to type for it to be considered correct.

You can also add multiple correct answers.  If the user enters the correct answer, this will not be revealed when taking the quiz - this is used by Forms to automatically score the quiz for you.  You can assign a point value to each question.

Keep adding items to your survey until it's complete, then you can proceed to view and share it.

## How to    create a branch form

one of the most powerful features in Microsoft Forms is the ability to create branched forms - your poll, survey, or quiz can interactively change the questions a user sees based on the answers they choose (this is usually only useful for multiple questions, of course).  This can be used to create highly interactive personalized experiences.  However, it's simple to create.

When editing a question, click on the three dots at the bottom right of the question.  No pop-up menu, choose “Add Branch”.

On the Branch Options page, choose which question to go to for each of the choice selections.  For example, the first option might take the user to the next question, while the second option might skip that question and go directly to the next one.

Continue selecting branch options for the other questions on the form.  Certain questions can be a "dead end", for example, and go directly to the final form, while others move from one question to another in the normal way.

After adjusting your branching options, click "Back" to go to the form's main page.

## How to    view and share your completed form

Before sharing your form, you might want to preview it to make sure it looks and works as you expect.  From the toolbar at the top of the page, click "Preview."  Now you can take the quiz and review the results to make sure it's ready to be shared.  To share the form with the desired audience, click “Submit” in the toolbar at the top of the page.  In the panel that appears on the right side of the page, choose how you want to share it.

If you are part of an organization, you can use the drop-down menu to specify whether it can be shared with anyone or just people in your organization.  However, if you are a single user, the form will always be shareable with anyone.  Choose your preferred sharing method.

Link: Copy this link and share it any way you like (email, text, etc).

QR Code: Copy and share the QR code.  Anyone who receives it can open the form by scanning the code with the camera In yours mobile device.

Embed Code: You can use this HTML snippet in a webpage.

Email: Opens your email client with the link to the form already inserted.

## How to    see answers and results

Once you share your form and people start responding, the results will automatically compile so you can review the data at any time.

In Microsoft Forms, locate and click your form to open it.  At the top of the page, you should see the “Questions” and “Answers” ​​tabs.  The Answers tab indicates how many results you received.

Click on "Answers".  Here you can see a complete summary of all results, including graphs illustrating the distribution of responses to multiple-choice questions.

For any question, click “More Details” to see additional details about the answers, such as the full set of answers provided for that question.

To export the answers to a spreadsheet, click on “Open in Excel”.  Your browser will download an Excel file that you can click to open in Excel or save to your hard drive.
