In this article we will show you how to Manage Calendar notifications on iPhone, iPad and Mac. If you use the stock Calendar app to set up meetings, birthdays, and other events, you’ll be glad to know that you can also set and customize custom alerts for these events on your iPhone and iPad.
The built-in Calendar app on the iPhone and iPad is not only Apple’s special way to keep track of events, but it is also a gateway to many other productivity apps that sync with it to give you useful information for your daily life.
Even if you use a different calendar service, like Google or Microsoft, you can link it to your Calendar app to get the most out of your daily planning. You can change a lot of things about Apple’s Calendar app to make it work better for you. You can also go to the official Apple support site to know more information about this.
How to Manage Calendar notifications on iPhone, iPad
Default Calendar alerts
Setting up default alerts on an iPhone or iPad is just as easy as setting them up on a Mac.
- Open Settings and select Calendar.
- Pick Default Alert Times.
- Set your default alerts for birthdays, events, and all-day events. Optionally, enable the toggle for Time to Leave.
Individual Calendar event alerts
You can change the default alerts for both new and old events. When you open the Calendar app, do one of the following.
- To change the notification, tap the calendar event, then tap Alert and pick a new time.
- To add another notification, tap Edit and then Second Alert to pick an additional time.
- To remove an alert, tap Alert or Second Alert and pick None.
- To use Travel Time, tap Edit for the event and select Travel Time. You can then pick a starting location and timing.
How to Manage Calendar notifications on Mac
Default Calendar alerts
Setting up your defaults is a good way to start customizing Calendar alerts on a Mac. So, open the Calendar app on your Mac, click Calendar > Preferences from the menu bar, and click the Alerts tab.
The top drop-down menu is for your default calendar account. If you use other calendars, such as Google, you can choose that account here.
In the next section, you can choose the default alerts for all events, events that last all day, and birthdays. For each of these three, you can choose a different default notification. Unless you check the box for “Don’t apply to other devices,” these settings will also be used on your other devices. You should only use these alerts on this computer.
Because of this, you can get alerts in different ways than on your iPhone or iPad. So it’s very useful if you only use your Mac for personal things but use your iPhone’s Calendar for both work and personal things.
Setting the time to leave is another useful feature. By checking this box, you can be reminded when you should leave for your event based on where you are and how busy the roads are.
Once you set up the default alerts for Calendar on your Mac, you don’t have to stop customizing it because you can still set up alerts for individual events as needed.
Individual Calendar event alerts
Open the Calendar and choose an event that’s already there or make a new one. You can set up an alert for the event below the date and time. Obviously, this will default to what you set up in the Preferences section above, but you can change it or add another notification.
- To change the notification, click the Alert drop-down box and pick a new time.
- To add another notification, click the plus sign next to the Alert drop-down box and pick an additional time.
- To remove an alert, click the Alert drop-down box and pick None.
- Remember, you can use Travel Time for any of your events by selecting that drop-down box and picking a time.
Custom event alerts
You can set up custom notifications in addition to the built-in times you can choose from for event alerts.
In the drop-down menu for Alert, choose Custom. Here, you can choose to see a message and hear a sound at a certain time, send an email, or open a file based on your event. Just choose the kind of alert you want, fill out the other fields for that kind, and click OK.
