How to Block Emails from Specific Senders in Microsoft Outlook – Guide

Spam and unsolicited emails are very common these days. There are a few ways to avoid this, but a much better approach is to permanently block spammers from sending these emails to you. Fortunately, MS Outlook, a very popular email client, offers a native option for this. You can blacklist senders you don’t want to receive emails from in your Focused Inbox.

All you need to do is set up some rules in Outlook. I will mention details later in this post. Just configure the list of senders you want to block by adding their email addresses to the list and the rest will be done by itself. Just sit back and relax as all blocked senders will never be able to send unsolicited promotional emails to your inbox.

How to Block emails from specific senders in Microsoft Outlook

Use a rule in the Outlook desktop client

Rules work in the folder you create them in, so you need to select an email in your inbox for this to work. After selecting an email, click Home > Rules > Create Rule.

In the “Create Rule” panel that opens, click on “Advanced Options”.

Check the box next to “From [name]” option. This is the person whose emails will be automatically deleted before you see them, so make sure it’s the correct sender. From there, click “Next”.

Then, check the “Permanently Delete” checkbox.

A confirmation dialog will be displayed. Click on the “Yes” button button.

Now select the “Next” option button and “Next” again to get to the final wizard page.

Give your rule a name, enable “Run this rule now on messages in “Inbox”” and click “Finish”.

Your rule has been created and all emails from that sender will be immediately and automatically deleted once they reach your inbox.

Use a Scan in Outlook Web App

Scanning works on specific folders like rules, so you need to select an email in your inbox for this to work. After selecting an email, click “Scan” on the toolbar.

Select “Move all messages from the Inbox folder and any future messages”, set the “Move to” folder to “Deleted Items” and click the “OK” button button.

That’s all there is to it. Click “OK” in the confirmation dialog box.

Unlike the rule in the Outlook client application, Scan will not skip the Deleted Items folder. This means that all automatically deleted items will be visible in Deleted Items, so you will need to empty this folder occasionally.
