How to Limit Responses in Google Forms – Guide
Google Forms is a great tool for matching other people’s responses online, whether it’s a job application or getting feedback from your customers about your products or services – you can start taking online surveys today for free! Google Forms allows you to link the information to a spreadsheet on the page to automatically record the response. Then, the spreadsheet is filled in real time with the responses received from the questionnaire or survey. This makes it one of the easiest ways to save and review Google Forms. As Forms is an online tool, you can share and collaborate with multiple people on the same form in real time. However, it can sometimes mean that you need to limit the number of responses.
Google Forms is a completely free search tool for individuals and businesses with a Google Account. There are no limits on surveys, questions or answers, making it one of the best free form creators on the market. In addition, the software includes excellent tools for collaboration. However, Google Forms has some important drawbacks. Question types are limited, the survey logic isn’t as strong, and there’s not much room to customize your form. To some extent, you get what you pay for with this free software.
Limiting responses on Google Forms
There are different ways to limit responses in Google Forms depending on the scenario; however, the three general methods are listed below:
Using Google Form Settings
If you want each respondent to provide exactly one answer and no more than that, you can use this method. To do this, you need to open the desired Google Form and click on the Settings icon:
When you click on the icon, the Settings window will be displayed. From this window, you need to check the checkbox that says, “Limit to 1 answer”, as highlighted in the following image: After checking this checkbox, you need to click Save button as highlighted in the image below: Once you’ve done all of this and asked respondents to fill out your form, they can only submit their responses once.
Stopping accepting responses manually
Sometimes people use Google Forms to perform searches. Generally, before conducting a survey, you have an estimated population size in your mind, meaning you know approximately how many participants you want to involve in your survey. Once that target number is reached, you won’t need more participants to provide more answers. That’s why it’s good to stop manually collecting responses once the target population size is reached. For this you need to switch to the “Answers” tab on the desired Google Form.
In the “Answers” tab you will find a toggle button “Accepting responses” button which will be enabled by default as shown in the image below: You need to turn off this toggle button button to stop accepting more responses to this Google Form, as shown in the following image: Once this is done, participants will no longer be able to submit their responses to your Google Form.
Using the formLimiter add-on
Sometimes you need more control and flexibility when collecting Google Form responses. That kind of flexibility cannot be achieved by the options built into Google Forms. For that, you need to install the formLimiter add-on. You need to click on the Hamburger menu icon (three dots) located in the upper right corner of your Google Form. From this menu, you need to click on the Add-ons option.
This will bring you to the full range of add-ons that are available for Google Forms. From this list of add-ons, you need to click on the formLimiter add-on as highlighted in the following image: When you click on it, you will see an installation button and you need to click on it to install this add-on. A bang-up a dialog box will appear asking for confirmation which you can provide by clicking the CONTINUE button button.
Once this add-on is installed on Google Forms, a small FORMLIMITER window will appear on your screen. Now you need to click on the Limit Type drop-down list to expand it, as highlighted in the following image: From this list, you can select any Limit Type based on which you want to limit your Google Form responses. For example, we selected the limit type “number of form responses”.
Once you’ve selected this type of limit, you’ll be asked to set the maximum number of responses you’d like to collect for your Google Form. For example, we didn’t want to collect more responses once the number of responses reached 20. After setting the desired threshold, you need to click Save & Enable button.
